HybridForms is available as SaaS with strictly separated customer environments, in three editions: Shared, Shared.AI, and Dedicated – combined with as many client licenses as you need, for Android, iOS, Windows, and the Progressive Web App in the browser. As usage grows, you simply add more client licenses.

The advantage of the SaaS model: licenses, updates, server operation, and support are already included in the monthly fee. icomedias runs the environment in data centers in Austria and on Microsoft Azure in the EU.

1: HybridForms Server – three SaaS editions

HybridForms Server – Shared

Shared is functionally equivalent to the Business edition and runs in a multi-tenant hosting environment: HybridForms Server with template development tools, conditions and validation, encrypted biometric signature, PDF generator, SQL Connect, plus status workflow and Stages processes. Your organization gets its own tenant with its own subdomain. Recommended as the fastest way to start, without infrastructure of your own.

HybridForms Server – Shared.AI

Shared.AI extends Shared with the Secure AI-Workflow and the dynamic XML/XSLT processor, making it the equivalent of the Trusted.AI Enterprise edition. AI processing runs on the Trusted.AI infrastructure operated by icomedias – controlled through predefined AI presets, without open chat interfaces, and with an AI security layer. Your data stays in the EU. Recommended for organizations that want AI support without running an AI infrastructure of their own.

HybridForms Server – Dedicated

Dedicated covers the full scope of Shared.AI and adds a fully separated server environment exclusively for your organization – a dedicated instance on a separate server. Recommended where isolation, performance, or evidence toward regulators matter.

Trusted.AI in managed operation

Shared.AI and Dedicated include the Secure AI-Workflow. icomedias handles the AI processing as a fully managed service in the EU – with AI Server Guard as standard, which means prompt inspection, media inspection, and result compliance are all in place. Usage is token based, in package tiers.

AI@Europe: your data and the AI processing stay within the European legal framework.

2: Client Licenses for Users

In addition to the HybridForms Server you need client licenses for your users. These licenses are available in different scales – you can adjust the number at any time according to your needs. Each user with a client license can use an unlimited number of forms on any number of devices – cross-platform with Android, iOS, Windows and Progressive Web App.

Onboarding: Setup & Support

Coordination, system setup and commissioning, activation of tenant and subdomain, admin training, access to all documentation, and an included support pool. You then manage your system and its permissions yourself in the web browser.

Pro Integration: Forms & Processes

Design and creation of your first form templates, usability review and workflow design, planning of data synchronization and interfaces, plus a pool of hours for adjustments, processes, and BI/analytics.

AI Service: Setup & Consulting

Selection and configuration of the models in use, setup of AI presets and the AI Services Broker, security concept, and advice on AI integration that meets critical-infrastructure requirements – in managed operation as well.

Interfaces & form templates

Based on your form templates, you create and edit an unlimited number of forms – at no additional cost.

We are happy to design and build the first form template together with you, charged by effort, so your team gets started quickly. Further templates you create yourself, with a HybridForms Solution Partner, or with icomedias.

Connections to third-party systems and specific interfaces to your existing systems we plan and implement separately.

Operation and software updates

icomedias runs the environment in data centers in Austria and on Microsoft Azure in the EU. All technical system maintenance and every update are included in the monthly fee – you do not need to take care of any of it.

You connect your user directory through ADFS or Microsoft Entra ID. Permissions are something you manage yourself in the web browser. All you provide are the end devices.
