Release Notes: HybridForms 10.5 (October 2025)

We are pleased to introduce the new version HybridForms 10.5. This release features a comprehensive redesign of the user interface, new options for centrally designing your forms, and important technical notes for existing installations.

Highlights of Version 10.5

Optimized redesign for better usability

Since Version 10, UI themes Classic, Modern, and Dynamic – each available in Light, Dark, and Auto modes – have been accessible via the App settings. With version 10.5, the user interface has been further refined to noticeably improve the user experience:

  • New color scheme & icons: Adjusted colors, clearer contrasts, and distinctive icons ensure a consistent appearance.
  • Revamped side menu: The new layout simplifies navigation and makes operation more intuitive.
  • Improved dark mode: The dark mode has been redesigned – ideal for mobile use and comfortable work in low-light environments.

Central theming for all forms

With the new server-wide configuration via theming assets, you can design your forms efficiently and consistently:

  • Central styling for all form definitions (instead of theming per form definition)
  • Quick configuration via the assets section in the Admin UI
  • Custom theming and individual adjustments via CSS variables for customer-specific design

Target audience: Form template developers and system administrators.

Notes for customers with existing custom theming

If you already use custom styling in your forms (e.g., custom colors for required fields or menu entries), please note:

  • The new styling rules also affect all existing individual designs.
  • Adjusting your custom styles to the new rules is necessary to avoid display issues.

Granular permission settings: Create & Edit

Based on frequent customer requests, the previous permission »may start form« (in the template flags) has been split into two clearly defined permissions:

    • Create: Permission for groups or individuals to create new forms – and continue editing them.
    • Edit: Permission for groups or individuals to edit existing forms – without being allowed to create new ones.

This differentiation allows for more precise control of roles and responsibilities – for example, in maintenance tasks or handovers within teams.

One possible use case is that only specific individuals are allowed to initially create a form – while others may edit the tasks assigned to them, but cannot add new ones. Another scenario could be that, after a change in responsibilities, certain groups or individuals should no longer create new forms, but still be able to continue editing and completing their existing ones.

Target audience: Administrators and those responsible for role & permission concepts.

HybridForms 10.5: Granular permission settings

Two-factor authentication for ReachOut deliveries

With ReachOut, pre-filled forms can be sent to recipients via a personalized link in an email. The link opens the form, which can then be completed and submitted – all without login.
Starting with Version 10.5, ReachOut now offers an additional layer of security, as forms can be additionally protected with a PIN:

  • The recipient receives the personal link via email as usual.
  • Before opening the form, a PIN must be entered.
  • Access is limited to a maximum of three attempts – after which the link is locked

This new feature enhances the security of sensitive data deliveries and protects against unauthorized access – especially relevant in areas with high data protection requirements.

Target audience: All users sending or receiving ReachOut forms.

New video feature

In addition to the established media features – photo, sketch, map, and document upload – a video feature is now available.

  • Videos can be recorded via your mobile device or uploaded directly – all within the HybridForms App.
  • A video editing feature will be available in an upcoming release, allowing you to trim videos by setting start and end points, while keeping the original file intact.

The video feature supports visual documentation, condition reports, or evidence collection – for example, during maintenance, inspections, or audits.

Target audience: All users – especially in field service, technical documentation, and on-site operations.

Now available – for all platforms

The latest version of the HybridForms App is now available for mobile devices running Android, iOS, and Windows in their respective app stores. The Progressive Web App (PWA) is accessible directly via your HybridForms Server – for web browsers on laptops and desktop PCs.
