History logs with automated tracking of changes are an important tool for proving compliance in the capture and processing of sensitive as well as system-critical data – and thus essential requirements for professional enterprise use and data protection. With HybridForms’ integrated Audit Trail function, you can activate the chronological logging of all revisions specifically for individual form processes. This means that the change information is consistently documented for every form update and can then be accessed by authorised users at any time at the touch of a button.
Keeping track of changes to data is an important part of many digital work processes. HybridForms offers an integrated history function with chronological logging.
Completely documented data collection with Audit Trail & history change log
HybridForms offers maximum flexibility in the design and implementation of your digital forms processes – and also in dealing with Audit Trail. The function can be activated or deactivated depending on the data protection and compliance requirements of the company or organisation. It can also be specified for a process that transferred final data is of course output without this audit data. The granular change data is primarily available for time-limited forensic questions in individual cases with essential consideration of data protection and is not part of the final data output. HybridForms therefore also supports time-controlled status transitions and deletions in accordance with GDPR specifications that can be set for each process.

Users with administration rights can select the history function for certain templates with a single click. The recording of all relevant data changes then runs automatically and in the background. The »normal« users do not notice anything when they edit a checklist or a form and cannot deactivate the change logging.
The audit trail function records the changes made to each form update in a traceable and tamper-proof manner, such as version, status, timestamp, user, device and type of change. The history log with all details for each individual form can then be accessed and viewed by all authorized users in the HybridForms Admin App directly via a link.

These automated change logs are a central tool for the quality assurance of processes and at the same time serve as documentation for compliance guidelines. Generally applicable standards such as GCP (Good Clinical Practice), GMP (Good Manufacturing Practice), GxD (Good Working Practice) are requirements that can be implemented by means of system-integrated audit trail recording for data collection.

Fulfilment of guidelines & compliance through change records & tracking of data
Many industries are bound to the proof of a legal documentation obligation in process flows and the compliance with standards & guidelines, such as organizations in the healthcare sector, medical research institutions, manufacturers of medical devices and pharmaceuticals, companies in food production and many more. Application scenarios for the use of Audit Trail are for example:
Audit Trail & Good Clinical Practice (GCP) at the Medical University of Graz
The project team of the clinical drug study under the leadership of the Medical University of Graz records the protocols of the ward rounds in the eight participating hospitals throughout Austria digitally with the HybridForms App. The detailed documentation is done with electronic Case Report Forms (eCRF) in a multi-stage process. For the quality assurance of the processes in the sense of »Good Clinical Practice / GCP«, the detailed recording and review of the data including change management must be ensured. With the integrated Audit Trail function of HybridForms, the complete traceability of modifications is guaranteed – details such as version, date, time, user and type of change can be traced at any time.
