The external partners of AHT Cooling Systems record the acceptance & service assignments for deep-freeze and refrigeration systems directly on site with mobile App. All data for the acceptance and maintenance of refrigeration and deep-freeze systems are recorded with the HybridForms App by service partners on mobile devices. The App is easy to use – with many enterprise functions, workflow and interfaces.

Live documentation of the acceptance process and regular maintenance service appointments of refrigeration and freezer systems at food retailers by independent local COOLPOINT partners is carried out digitally throughout using the HybridForms App for Android, iOS, Windows and Web Browser.

The local service partners access their forms via the group portal function, the administration of the individual users is carried out by the partners themselves. The group portal enables large companies to work securely with external partner companies – everything is recorded transparently, collected data can be evaluated immediately, spare parts and repairs can be billed more quickly.

The templates for the checklists and forms are created by the internal department, by now more than 20 individual templates for various applications have already been integrated. The digital forms are used throughout the company and in multiple languages – for cross-departmental collaboration, a wide variety of user groups and across the entire and heterogeneous device landscapes of the partners.

Problems and requirements of AHT Cooling Systems

The templates for the acceptance reports were sent to the local service partners as a PDF file via a direct link, which they then printed out and filled in by hand. The completed service forms (each about 50 pages long) were then sent either by fax or by mail, with the pages being scanned in individually.

Due to this handling with paper forms and manual data entry, a lot of information was returned to the head office for further processing and filing only after a long delay, and accordingly a lot of data remained unused. In order to meet AHT’s claim – leadership in quality and technology – in this area as well, the digitization project with HybridForms was launched.
