HybridForms’ Group Portal feature enables large organizations with many users to easily manage accounts, groups and permissions for specific forms and checklists – as well as collaborate with external partner companies, who then have secure access to administer their users via self-service through a protected extranet.
In large installations, the creation of new/additional users can sometimes become a major process, especially if users from external partners also need to be included.
Delegable user management via the Group Portal
The administration interface of HybridForms Core Server makes it easy to set up and manage many users and groups – the Group Portal feature is available in HybridForms Enterprise and Operator editions. By creating real Active Directory users, the entire security system with real users in HybridForms is also possible for external users. With one click a new group can be created and a responsible administrator for this group can be defined. This administrator can then independently add further users to this group via self-service and assign them appropriate rights for access to certain forms.
Netz Niederösterreich, an Austrian operator of electricity and natural gas networks and a subsidiary of EVN AG, has securely integrated around 1,500 external network partners with around 3,000 people into their form processes with HybridForms for the inspection of gas systems. With the Group Portal function, user administration is transferred to the respective partner company, and the internal time and support effort at Netz Niederösterreich could thus be reduced quite considerably.
Integration of external service partners at AHT Cooling Systems
The example of AHT Cooling Systems, one of the world’s leading companies in refrigeration and deep-freeze systems, shows how collaboration with a large number of international external service partners becomes transparent and traceable through the use of HybridForms and the Group Portal function. The responsible contact person for each external group manages their own users and assigns permissions. At the same time, the AHT has an overview of the various external groups, active users and assigned acceptance protocols, safety briefings and market inspection reports at all times via the central Admin App of the HybridForms Core Server. Thus, the cooperation with external partners is documented transparently, recorded data can be evaluated immediately, and completed orders can be charged more quickly.
